Guide for parents

Sign in with the parent login the registry gives you, change your own name, phone or photo, and follow each of your children's published results, fees and payments, courses, timetable and attendance - on a computer or a phone.

Who this guide is for

You are the parent, guardian or sponsor of a student, and the institution's registry has recorded you on the student's record and given you a parent login.

Your account shows the students you are recorded against — all of them, if you have more than one child at the institution — and nobody else. Everything is on one page, in three parts: Results, Fees, and Courses and attendance.

Before you start

  1. The registry emails you a link to set your password. Open it, enter a New Password and Confirm Password, then select Set Password. If the email does not arrive, the registry can give you the link instead: it works once.

  2. Open the institution's portal and sign in with your email address and password. Select Sign In.

  3. You arrive on your children's page.

Signing in

If the page says No student is linked to your account yet, the registry has made your login but not yet added you to your child's record. Ask them to; your child appears as soon as they do.

To sign out on a computer, open the menu with your initials at the top right and select Sign out. On a phone, open More and select Sign out at the bottom.

Use it on your phone

The portal works in your phone's browser, with the same login.

  1. Open the institution's portal address in your phone's browser and sign in.

  2. The first time, the portal may offer to install itself: Install app puts it on your home screen, where it opens like any other app. Not now closes the offer. On an iPhone the offer says to tap the Share button, then Add to Home Screen.

  3. The bar along the bottom has three tabs — Results, Fees and Attendance (the Courses and attendance part) — then More. You see a tab only for a part the registry lets you see of the child you are looking at.

  4. More has Home (your children's page), Appearance (System, Light or Dark), Language (English or Français) and Sign out.

On a computer the same three parts are tabs across the page, under your child's name.

Change your own name, phone or photo

  1. On a computer, open the menu with your initials (or your photo) at the top right and select My profile. On a phone, open More and select your name at the top.

  2. Change your First name, Last name or Phone number, and select Save changes. The name and phone number your children's records show for you as their parent or guardian change with it.

  3. To add a photo, select Add a photo (or Change photo) and choose a JPEG, PNG or WebP image of up to 3 MB. Remove photo takes it off. If there is no photo button, photo uploads are not set up for your institution.

Your new name and photo show at the top of the page and in More straight away.

Your email address and password are how you sign in, so they are not changed on this page; Email and password says where to change them. If you sign in through the suite, Change password opens the suite's sign-in page, where you set a new one. If you sign in to this portal directly, ask your institution's administrator for a new sign-in link. To change the email address you sign in with, ask your institution's administrator.

Choose a child

If you have more than one child at the institution, choose one from Showing at the top of the page. Everything below it is for that child: their name, matric number, level, programme and status, what you are recorded as, and the tabs Results, Fees and Courses and attendance.

Follow results and the CGPA

Open Results (the Results tab on a phone).

  • The figures at the top are the CGPA, the Last semester GPA and the Credits earned.

  • Each semester lists its courses with the units, score and grade, and the semester's GPA and CGPA. On a phone each course is one line.

You see results once they are published, exactly as your child does. A semester whose results are still being checked is not shown, and a semester with only some departments published shows its grades without a GPA until the rest are published.

If your child's institution grades on LMD

Some institutions grade on LMD (Licence–Master–Doctorat). There, Results shows your child's transcript of marks: the average out of 20, the credits held and the mention; for each year the decision (Year validated, Conditional progression, Repeat the year or In progress); and for each semester the teaching units with their average and result, with each course's mark out of 20. Resit marks appear once the institution publishes them. As with GPA results, you see only what your child sees.

Check fees and pay

Open Fees (the Fees tab on a phone).

  1. Outstanding is what is owed across the unpaid invoices.

  2. Each invoice shows its reference, semester, due date and state (Unpaid, Part-paid, Paid, Overdue or Voided), with the total, what has been paid and the balance.

  3. To pay online, select Pay Now on an invoice, choose how to pay, then select Continue. You are either sent to the payment provider or shown an account number to transfer to. The amount is the invoice's balance; you cannot change it.

Payment history lists every payment made, whoever made it, with how it was paid. A payment recorded at the bursary has a receipt number: select Receipt to see the receipt, then Download receipt or Print receipt for the PDF.

Select Invoice PDF on an invoice to Download PDF, Print it, Share on WhatsApp or Email it. The email address the institution has for you is filled in, and you can type another.

A payment made by transfer shows once the bank confirms it.

Follow courses, the timetable and attendance

Open Courses and attendance (the Attendance tab on a phone). It covers the semester that is running:

  • The courses your child has registered, with their units.

  • Attendance for each course: the share of lectures attended. A student below the institution's minimum can be Barred from the exam.

  • The Lecture timetable for those courses: the day, the time and the venue.

Language and appearance

  • Language: on a computer, select EN or FR at the top of the page. On a phone, open More and choose English or Français. Not every page is translated yet, so some text stays in English.

  • Appearance: the portal follows your device's light or dark setting. On a computer, the sun or moon button at the top switches it. On a phone, open More and choose System, Light or Dark.

Tips and common questions

  • Why can I not see one of the tabs? The registry can record a guardian who sees fees but not results (a sponsor, for example), or the reverse. Ask them if that is not what you expected.

  • I have two children at the institution. Do I need two logins? No. The registry adds you to the second child's record, and both appear under Showing.

  • Why are this semester's results missing? They are shown once the department publishes them.

  • Can I see another student? No. Your account shows only the students the registry has recorded you against.

Getting help

For help with the portal, or anything about a particular student, contact the institution directly: the registry for records and results, the bursary for fees. The portal has no support chat or ticket desk of its own.
